Looking for a Payroll Program: What to Avoid

A payroll program can handle a number of tasks in payroll management and rostering. These processes not only demands basic payroll knowledge and math skills but also an understanding of tax rates as well as prevailing federal and state legislation that cover wages.

Well known payroll accounting software or programs include G7 Productivity Systems’ VersaCheck Payroll and Intuit’s QuickBooks Standard Payroll. A good number of these accounting programs can be integrated into the HR systems or accounting systems of the company. There are also payroll accounting programs that are independent desktop software, those that are open source payroll software applications which can be downloaded for free and there are those that are online web based systems.

When looking for payroll processing software for your company, take note of the points mentioned below on what to avoid:

1. Don’t use a payroll program that cannot deliver efficiently. There should also be very little reason for any kind of delay.

2. Avoid any kind of payroll accounting software that is not user friendly and is difficult to navigate. You should also be able to issue the compensation through printable checks or direct deposit. Calculating federal and state tax liabilities should also be a snap; and that should be the same with filing for tax and filling out tax forms and making deposits. The software – which should update tax rates automatically – is supposed to make the processes involved faster and easier.

3. In the same vein – of making processes easier – the software should definitely be able to load and work with the existing computer system in your company. Do not use programs that are not compatible.

4. Avoid accounting programs that are not suitable for the number of employees in your company. Some payroll software, for example, can only handle processes for about 500 individuals. If your business has more than 500 employees, you will need some sort of heavy duty software that can crunch numbers for maybe a thousand employees or more.

5. Avoid software vendors that don’t have high quality customer support. There is, after all, a number of vendors that offer support like this so there’s no reason for you to purchase payroll software that doesn’t have a back up plan for when there are problems or anomalies while running the program.

6. There should be several useful links in the program that can help further speed up processes and make them even easier. If the software you are eyeing does not have options to links for employee W-2 forms, tax forms, payment coupons and the like, skip the software and check out the next one that your considering. There is no shortage of accounting software that has these kinds of links so there’s no reason for you to settle for software that doesn’t offer this convenience.

7. Do not use a payroll program that doesn’t fit your company’s needs. It should be able to handle all the compensation tasks and processes that you need it to manage and should offer flexibility and options.
